Create budget based on tasks
Once you have created tasks on a project, possibly by copying the tasks from another customer project or a template project, you can then create the budget based on these tasks.
This is done via the
Budget button and the
Create budget (tasks) item.
Remember to limit the project in the overview.
Example - budgeting using project tasks
If project tasks are used for budgeting, these budgets can be used for service planning, calendar follow-up, ongoing invoicing and financial and planning follow-up.
Invoicing is recommended to be created as sales orders, as on-account invoices (i.e. the order header type must be an on-account type), because then the service agreement can be invoiced again and again using the bulk invoicing features.
- Service agreement tasks must be assigned to a budget group.
Therefore, create a budget group under Project/Maintenance/Budget group.
The budget group should be the same for all budgets created for all projects in a year in the company. For example, the budget group for the year 2023 can be called 2023 and for the year 2024 it can be called 2024.
- Task groups are created under Project/Maintenance/Task groups corresponding to the possible service agreements that exist in the company.
This can be, for example, service agreements per month, quarter and year.
- As the tasks are meant to be used every year and planned every year for the duration of the agreement, work areas must be created that can be "rolled".
Create the work areas under Project/Maintenance/Work area.
The work areas for service can, for example, be called S22 and S23 if they are to be rolled per year.
- Create a budget on the project either via Project/Project and the Budget button or Project/Reports/Budget and the Add budget button.
Assign the budget to the budget group.
- A number of tasks are then created under Project/Project and the Tasks/List page button corresponding to what needs to be done. For example, Month = 12 tasks, Year = 1 task, etc.
TIP! You may also want to define the task groups on the debtor in the debtor file so that the tasks can be automatically created on the project in the future. This is done under
Debtor/Debitor and the
Task groups button.
This may be relevant for service agreements so that tasks can be created automatically in the future.
