Mandate overview
Under
Accounts receivable/Maintenance/Mandates you can manage all the mandates.
A Mandate must be created in order to make collections. A mandate is a payment agreement between the company (Creditor) and the customer (Debtor). The mandate is a unique ID that also identifies the customer in Uniconta.
Note! What is called mandates in Uniconta is the same as what Betalingsservice calls a customer number.
Creating mandates
Mandates can be created directly from the debtor overview under
Debtor/Debtor . From here, a mandate can be created for a single debtor or a selection of debtors. Select the debtors you want to create a mandate for and select the
Create mandates button on the ribbon.
Note! Existing Mastercard solutions that are moved to Uniconta must be handled differently. Read more about this further down in the text.

If in the setup of the file format for the payment method it is selected that debitor account = mandate ID, the mandates will be created automatically when customers sign up and the information is received from Mastercard.
This information is received continuously from Mastercard, but is only imported to the accounts in Uniconta when the
Import button is selected under
Debtor/Report/Payment proposal.
Importing mandates
When converting a supplier or payment service solution from another system to Uniconta, i.e. payment agreements already exist between the company and customers, these payment agreements can be imported into Uniconta as follows:
- The payment agreements are imported via Tools/Data/Load data to the mandate file called DebtorPaymentMandataClient.
Note! Account number and Mandate number must be filled in with the same number for this import.
In addition, the Agreement number is imported if it is known, i.e. if the customer already has a payment agreement.
- Import the current mandate ID to the mandate directory if the mandate ID and debtor accounts have not previously been the same,
so that these can be changed at BS, so that mandate IDs in the future are equal to the customer number in Uniconta.
This is done by selecting the Load mandate button on the ribbon on the mandate overview.
Read further description of the file format that can be loaded etc. under the description of the Load mandate button.
When the previous mandate IDs have been loaded, select the Change button on the ribbon on the mandate overview.

- Order an 0603 file from Mastercard (done by calling Mastercard or via their customer portal).
When this file is received and imported via the payment proposal overview, Uniconta will compare the information in Uniconta's mandate list with the received file and register any changes.
Mandate or Alternative Mandate?
Uniconta will automatically generate a unique Mandate ID.
For new customers, the automatically generated ID is a good choice as it ensures a unique ID.

There may be situations where you want to define a Mandate ID yourself, and this can be done by entering an ID in the Alternative mandate field.
If the 'Use debit account as mandate ID' parameter under 'File formats for payment methods' is activated, the debit account is inserted in the field. The Mandate field is replaced with the value in Alternative mandate.

Note: There is no validation for unique ID when using the Alternative mandate. You must therefore ensure that the ID is unique yourself.
Create payment agreements
Once a mandate has been created, a payment agreement can be set up with Mastercard.
This can be done in different ways. These are all described below, but for payment services it will typically be via the customer's online banking, and for supplier services it will typically be via a web form

Create payment agreement directly from Uniconta
Payment agreements can be created directly from Uniconta. Read more about this below, depending on whether you use payment service or supplier service.
Betalingsservice
The payment authorization can be created directly from Uniconta by agreement with your customer. A so-called delivery 0605 is used.
Note! Mastercard writes the following: When contacted by the debtor, you must be able to document the creation of the payment authorization. The agreement will not be valid if the creation cannot be documented.
Supplier service
The payment authorization can be created directly from Uniconta by agreement with your customer. A so-called delivery 0510 is used.
Note! Mastercard writes the following: When contacted by the debtor, you must be able to document the creation of the payment authorization. The agreement will not be valid if the creation cannot be documented.
Create payment agreement via the customer's bank
The customer can have their bank create the payment authorization. Uniconta will automatically receive the creation of the Mandate from Mastercard.
Create payment agreement via the customer's online banking
The customer registers the payment agreement with information from the payment card. Uniconta will automatically receive the creation of the Mandate from Mastercard. This registration form is only possible for Betalingsservice.
Create payment agreement via web form
The customer can create the payment authorization via a Registration link, which is created via Mastercard Connect Nordics. Read instructions at Mastercard.
Change of payment agreement
The customer's bank is always responsible for changing the customer's payment authorization to Mastercard.
This applies regardless of how the payment authorization or mandate was created.
Deregister payment authorization
The customer may at any time notify their bank or directly to the Creditor that they wish to cancel the payment authorization.
Once Mastercard has registered the cancellation, payments can no longer be executed.
Cancellation of a payment authorization takes effect for payments with a payment date from and including the banking day after the customer's cancellation is registered by Mastercard.
If the deregistration has been notified to the bank, the bank sends the deregistration to Mastercard.
If the customer makes the deregistration directly to the Creditor, the Creditor must send the deregistration to Mastercard.
If the business relationship with the customer ceases, the Creditor must also deregister the customer's payment authorization.
Customer changes bank
If the customer changes bank, the new bank must change the payment authorization.

Description of buttons

The mandate is enrolled and the status is changed to 'Enroll'.
Note! Only the selected Mandates will be enrolled when the button is selected and the enrollment is sent to Mastercard who will process the enrollment. A response will then be returned from Mastercard and the status will change to 'Enrolled' if everything has gone well. Payments can then be sent.
LeverandørService:
It is possible to create payment agreements with your customers directly from Uniconta.
It is recommended to familiarize yourself with the rules from Mastercard before using this functionality.
Here is an extract of the guidelines from Mastercard:
Rules for creating payment agreements when using the 0510 delivery. The creditor must be able to document the creation of the payment authorization upon request from the debtor. The agreement will not be valid if the creation cannot be documented.

It is also possible to sign up for Betalingsservice.

Unsubscribe |
The mandate is unsubscribed and the status changes to 'Unsubscribed'. Only the marked Mandates will be unsubscribed.
Note! It is then no longer possible to create charges on the customer associated with this mandate.

This function should only be used to rename mandates and only if you have many mandates to rename, otherwise it is easier to do it manually.
Supplier service - file format
File format - columns must be semicolon separated:
Column 1 = Debtor account number (Uniconta)
Column 2 = Current Mandate ID
Betalingsservice - file format

Column 1 = Debtor account number (Uniconta)
Column 2 = Current Mandate ID
Column 3 = Mastercard agreement number
In this example, the Debtor account number and Mandate-Id are the same.
In the below, the file has been loaded and the current mandate has been sent to Mastercard.

Change |
All mandates that have the 'Current Mandate' column filled in will be sent to Mastercard when this button is selected. However, it should be noted that only mandates with status '-' or 'Enrolled' can be submitted.
For Betalingsservice, Mastercard does not send a return file confirming that the change has been completed. However, a so-called '603-file All active' can be ordered. This file contains all active mandates, and when exchanging information with Mastercard using the Import button under Debtor/Report/Payment proposal, the mandates in Uniconta will be updated with the current status. It is recommended to order this file from Mastercard. Mastercard can automatically create this file once a month on an agreed day. The quickest way is to call Mastercard and ask them to create the file, and it will be loaded into Uniconta the same evening. |
Activate |
Mandates can be activated directly in Uniconta using this button if the mandate is already registered with Mastercard.
It will typically be in connection with the conversion of a Mastercard solution conversion of a Mastercard solution from another system to Uniconta that you want to use this function.

Here it is important that only the mandates that are already registered with Mastercard are activated. mandates that are not created with a debit account as mandate ID will get an auto-generated mandate ID. This must be changed to match the mandate ID the customer is registered with at Mastercard.
This will typically be a debit account if the previous solution was a C5.
The mandate ID that the customer is registered with at Mastercard is entered in the 'Alternative mandate' field.
If you have many customers, you can use Data Manipulation which can be found under Tools. The mandate is then activated by pressing the 'Activate' button.
Betalingsservice:
For Betalingsservice there are two ways to activate a mandate:1) It is recommended to use this activation. Request Mastercard to send a 603 delivery containing all active mandates. Here you do not need to fill in the field 'Identification of the agreement'. Uniconta will then activate all the mandates when the file is received from Mastercard. Remember to click Import under Payment suggestions (Read more here)2) There is also this option. If you fill in the field 'Identification of the agreement', which is an Agreement number issued by Mastercard, you will be able to activate the mandate directly from Uniconta - by pressing the 'Activate' button. This solution will not validate if the mandate is active with Mastercard. It requires a 603 delivery, which is described in point 1.
Supplier Service:For Supplier Service there are also two ways to activate a mandate:1) Activate the mandate directly from Uniconta - by pressing the 'Activate' button. This solution will not validate if the mandate is active with Mastercard. It requires an Electronic Debtor Overview, which is described in point 2.
2) You can also get Mastercard to send an Electronic Accounts Receivable Summary, which contains the inflow/outflow of mandates (this costs a fee to Mastercard). Uniconta will then activate all the mandates when the file is received from Mastercard. Here you must remember to press Import under Payment proposals (Read more here)
