
Description of buttons
Below is a description of the buttons on the ribbon in the chart of accounts.
Button | Button description |
Add financial account | Create a new financial account by selecting Add financial account/Add, or create a new financial account as a copy of another financial account by selecting Add financial account/Copies |
Edit an existing financial account | Edits an already created financial account |
Refresh | After making a change or creating a new account, press Refresh to see the latest accounts or corrections. |
Filter | Filter the accounts if, for example, you only want to see all accounts with account type 'Operations'. |
Layout | Add, remove or move fields using the points under Layout. Read more about these features here. |
Allocations & Accruals | Set up distributions or accruals directly on the individual account here. Read more about allocations here and accruals here. |
Budget | View the budget items in the current account. Read more about budgets here. |
Attachments | Attach notes and/or documents to the current account. Read more about this feature here. |
Bank statements | View bank statements for the selected account. You can also double-click on the account bar to see a statement for the account you are currently on. |
Postings | See all postings on the selected account. |
Account number | Shows balances per month on the individual account |
VAT per Debtor/ Vendor | Shows amounts per VAT code per debtor and creditor on the current account (income statement). |
All fields | Displays all fields in the current account and the content of these fields. |

Button | Button description |
Edit all | To be able to edit the overview and activate the subsequent buttons, you need to be in edit mode. To enter this mode, select the Edit all button. |
Add financial account | Add a new financial account to the chart of accounts |
Copy financial account | Add a new financial account as a copy of the financial account you have selected. |
Delete financial account | Deletes the financial account you have selected |
Save | Saves the changes you made while the screenshot was in "edit-all mode". |
Example: Add financial account
To create a new financial account, select the Add financial account/Add button and fill in at least the Account number field and any other required fields. The fields are described below in this article.

Cancel | Cancels the entry and returns to the previous screen |
Delete | Deletes the current account. A warning message appears before the account is deleted |

Description of fields
Below is a description of the fields that can be seen in the chart of accounts and/or on the account card.Field name | Field Description |
Account number | The account number must be filled in. Accounts are displayed in alphanumeric order, so it is advantageous to create all accounts with the same number of digits, e.g. 01010, 01011, .....20100, 20101 etc. |
Account name | The name of the account. The name field has a length of 150 characters. |
Account type | Here you can choose between different account types. You can read more about the account types here. |
Current year | This field is only shown in the chart of accounts overview. The field shows the balances from the current year on the individual account. A selection in the Current fiscal year field under Finance/Maintenance/Fiscal year determines which fiscal year balances are shown. |
Last year | This field is only shown in the chart of accounts overview. The field shows the balances from last year for each account. It is the balances from the fiscal year before the year marked in the Current fiscal year field under Finance/Maintenance/Fiscal year that determines which year's balances are shown here. |
System account | Here you can choose whether the individual account should function as a system account for e.g. exchange rate differences and similar. Read more about system accounts here. |
Currency code | Used for e.g. bank accounts in other currencies, which can then be reconciled via bank reconciliation. The currency code selected here will automatically be suggested when posting to the account in the accounting drawers. The Currency code field is only shown on accounts that can be posted to, e.g. accounts with account type = 'Operations'. |
Storage ID | Here it is possible, for example, to write B or Bank on the bank account. When you need to find this bank account in the accounting drafts, you can simply enter your lookup ID in the Account or Counter account field, and the account with the entered lookup ID is automatically selected in the draft. Note, however, that if you have entered B for bank in the Lookup ID field, for example, and in your accounting journal you enter a B in the Account field and a drop-down list of accounts containing the letter B appears, you should press TAB to this drop-down to tell the system that you do not want to select any of them in the list and the correct account with the entered lookup ID is inserted. |
Comment column | Here you can write info - comment column can be inserted in the chart of accounts and is on the closing sheet. |
Account number | |
Sum | If the account type of the account is 'Sum', you can, for example, specify what to sum in this field. Enter e.g. 1001..1098 to make the sum account sum account 1001 to account 1098. Read more about sum accounts here. |
Save in | The Save in field allows you to include the account in a Sum that otherwise covers a different area. |
Calculation expression | In this field, enter the calculation expression to be used to calculate the total to be displayed in the account. The Calculation expression field can only be seen in accounts with account type = 'Calculation expression'. Percentage | The Percentage field can only be seen on accounts with account type = 'Calculation expression'. Read more about calculation expressions and percentages here. |
Save in | The amounts of the individual accounts can be saved with a number, e.g. 1. If you then want to make calculations on another account where the sum from this and perhaps other accounts that are also saved with number 1 should be included, you can simply type Sum(1) in the Calculation expression field to get the amounts from all these accounts. Note! The Calculation Expression field is visible only on accounts with account type = 'Calculation Expression'. If this box is checked, the account cannot be booked at all. NOTE: It will still be possible to select a blocked account in the bank reconciliation under 'Reconcile lines', as it must be possible to register a payment from a blocked debtor/creditor. |
Page change |
If this box is checked, a page break will be made before this account when printing balances. |
Hide |
If this box is checked, the account will be hidden when printing balances if the account balance is 0. |
Group account |
If you need to relate to a group account, you can enter the group account number here. Group account is used to compare account numbers from 2 different accounts. The accounts to be compared must have the same group account number. Example: For example, in Company1, account no. 1000 is compared with account number. 2000 from Company 2. It is in Company 1 that you want to print the balance from with figures from both accounts. In Company 2, open the chart of accounts and fill in the field Group account in account 2000 with the value 1000 (i.e. the account number from Company 1). Then print a balance in Company 1, where you have selected Company 1 in the Company field in the first column. In the second column you select Company 2. You need to do the exact opposite if you want to print a balance sheet from company 2 with figures from both accounts. If the account you want to collect for does not exist in the company you are in, then no numbers and no account will come out. |
External number |
Can be used for different print order in balances. |
External name |
Alternate account name for use with external number in balances. If, for example, you have to pay for it. If you want to print your balance with English account names, then this field can be filled in with the account's English name, and when printing the balance sheet, check the External Name box, then the names from this field will be printed on the balance sheet instead of the account's regular name. |
Tuned |
If an account is reconciled on a date, no posting can be made to this account on a date before the 'Reconciled' date. Accounts are reconciled using the Exit sheet feature under Financial/Maintenance/Audit activities/Closing sheet. |
Standard account | If a country has a standard chart of accounts from the government. For example, Sweden or the Netherlands, a relationship can be created between the customer and the government's chart of accounts. The distributor in the country must have loaded the chart of accounts. The Danish standard chart of accounts from the Danish Business Authority is added in all Danish accounts. |
Applied dimensions | When dimensions are set up, you can choose whether they should be 'Active', 'Not active' or 'Forced' in the account. Active: When a dimension is set to 'Active' under the account, it is possible to select the dimension and the value is displayed when a record is posted. Not active: When a dimension is set to 'Not active' under the account, it is possible to select the dimension, but the value is not posted. Forced: When a dimension is set to 'Forced' under the account, it is not possible to post the line without setting the dimension. Read more here. |
Dimension | Here you can select dimensions, which are set up under Economy/Maintenance/Dimensions. Read more here. |
