Under
Debtor/Debtor or
Creditor/Creditor , you can view/create/edit contacts for each debtor/creditor by selecting the
Contacts button on the ribbon.
Description of fields

Check the box next to the documents that should be sent to the email address specified on the current contact.
If you place a checkmark next to the Contact person field, all types of documents will be sent to that contact person if the contact person is selected on sales documents, regardless of the checkmarks placed next to the individual document names.
Invoice = The contact person receives all invoices for this debtor
Account statements = The contact person receives all account statements for this debtor
Interest note = The contact person receives all interest notes for this debtor
Reminder = The contact person receives all reminders for this debtor
Delivery note = The contact person receives all delivery notes for this debtor.
(Note: Only if the Update stock box is checked when creating the delivery note)
Confirmation = The contact person receives all confirmations for this debtor
Quote = The contact person receives all quotes for this debtor
Contact person = The contact person receives all documents, i.e. quotes, order confirmations, delivery notes and invoices, if the contact person is selected on quotes and orders to the customer.
I.e. it is not possible to define that the contact person should only receive the order confirmation, for example, but not the other documents.
Example 1:
If you only check the Invoice field, this contact will receive all invoices created for this debtor.
Example 2:
If you check the Invoice and Contact person fields, this contact person will receive all invoices created for this debtor. The contact person will also receive quotes, confirmations and delivery notes, but only if this contact person is selected on the quote/sales order.

Statements and invoices should be sent to different email addresses
If desired, it can be done like this:
1) Leave the
Email to invoice field on the debtor card empty
2) Check the
Send email field on the debtor card
3) Create a contact person e.g. with the name Invoice. Enter the email address that should receive invoices in the
Email field and check the
Invoice field
4) Create another contact e.g. with the name Account statement. Enter the account statement email address in the
Email field and check the
Account statement field.
Invoice, order confirmation and delivery note should be sent to both the debtor and a specific contact person
If this is desired, proceed as follows:
1) Leave the
Email to invoice field on the debtor card empty.
2) Check the
Send email field on the debtor card.
3) Create your debtor as a contact person, for example "Michael". Enter Michael's email address and check all document types that he should receive.
4) Create your second contact person who should receive a copy of everything sent to Michael. Enter the email address in the
Email field
. Check the
Contact person field and nothing else.
5) In the order header, actively select your contact person to receive a copy of Michael's documents. This way, both the debtor and the contact person will receive everything that is sent.
Invoice account with contacts
If you use an invoice account and want to send a copy of the invoice to the delivery account, you can use contacts.
A contact must be created under the delivery account and this contact must be created with an email address and a check mark in contact person.
When creating a sales order for the delivery account, remember to select its contact person in the
Contact person field in the order header.
An email will now be sent to both the delivery account and the invoice account when documents generated by this sales order are sent.
Why are my documents being sent to a specific contact person?
If you have created a contact person where you have only checked the
Contact person field in the "Email recipient box", this contact person will receive all documents sent from the quote/order if this contact person is selected in the
Contact person field on the quote/order.

Why does my contact person get all the emails?
Documents such as invoices, quotes, order confirmations, reminders, etc. are by default always sent to the email address specified in the
Invoice email field on the debtor, but these documents are also sent to the contacts created under the
Contacts button on the ribbon in the debtor overview.
