How to form and print balances
Under General ledger
/Reports/Financial statement, you can print different balance sheets.
In the standard financial statements, a number of balance sheets are defined in advance with different designs and number of columns. You can always easily create new balances or correct existing ones.
Once you have selected the balance and the desired periods, e.g. as shown in the examples below, select the
Generate button, and then you can select the Print icon (or Ctrl + P) to view the report, save it in PDF format and/or send it by email.
View the transactions behind the individual amounts on the balance sheets
On the balance sheet can be printed an amount. This opens the account card for the same period as selected for the column.
Examples of financial statements
Balance sheet for the year
If you have taken a standard financial statement as your starting point, you have a balance sheet called 'Balance Sheet Year' that you can use to print a balance sheet for the year. From date and To date be completed with the first and last date of the year.
If you do not have this balance, it can easily be created as described below or you can adjust another of your balances.
Opening balance
If you want to print a balance sheet that only shows the opening transactions, then you need to make a balance sheet setup as shown below. Note that the first two columns are only used for calculation in the last column showing the prime items. Therefore, the
Hide field is selected on the first two columns.
Balance with movements without beginning
If you want a balance where you only see the sum of the entries posted on a given date, e.g. the 1st date of the fiscal year, then fill in the from and to date with the first day of the fiscal year, but uncheck the
P field.
Simulated balance sheet with post-transactions from auditor
You can easily check if your journal entries reconcile the balance with the accounts you have received from the accountant.
When you have entered the journal entries in an accounting journal, you can print a simulated balance before posting the journal entries by specifying that the journal entries should be included in the
Include journal field.

Dimensional balance / Departmental balance
If you want a balance sheet where you can see the balances of your balance per dimension, this can be done in two ways:
- In the dimensions frame (see red box in the screenshot below), select the dimension(s) you want to display on the balance sheet.
This will cause all amounts on the balance sheet to be split into e.g. departments. This solution can therefore result in a very long balance sheet printout.
Note! The fields in the red box will reflect the names of your dimensions in your accounting.
- Alternatively, you can leave out any fields in the dimensions frame (red box) and instead, in the blue box in the screenshot below, you can select e.g. which department to print in each column.
On the ribbon, you can select the Add column button so you can add e.g. one column per department.

Creating new balance sheets
An unlimited number of balance sheets can be set up in Uniconta.
Each of these can have up to 250 columns.
To create a new balance sheet, enter the new name in the "Name" field.
Then press "Save", after which the balance can now be selected in the field 'General ledger balance'.

Up to 250 columns including account and text columns can be used and exported to e.g. Excel. In print, up to 13 amount columns can be printed. |
Add period |
Here you can change the dates and texts of entry and budget columns.
By pressing "Month", a number of months can be added to each balance column. Press 12 to add a year. By pressing "Date", the individual lines' "Column header", "From date", "To date" and possibly "To date" can be displayed. The "budget model" changes. |
Front page |
Here you can enter a text for a balance sheet statement cover. For example, "Not audited". It comes with on a printout of the balance sheet. See description below. |
Generate |
This shows the balance on screen. Here you can move a column around. It's not a printout. You can only print up to 13 columns. For Excel, more columns are possible. |
Description of fields
Below are the fields in the upper part of the screen under Balancer.

Here it can be chosen whether sum accounts should be shown, hidden or only shown. Remember that dimensions must be set to "Active" on the sum account in the chart of accounts if you want to see the sum per dimension in the balance sheet. Read more here. |
External name |
General ledger balances can be printed with external account and external name. The fields can be found on the chart of accounts. External name is selected on the balance sheet. It is only when 'print' is printed in the balance sheet that they are printed, and not in the first image you get by "generate". |

Column width (Printing) |
Here you set the width of the individual fields as well as margin, font size and print direction. |
Dimensions |
If dimensions are used, one or more dimensions can be displayed. Each dimension appears on separate lines below each other in the balance sheet if these boxes are selected |

If you want the printout to use less space in the individual columns for Account, account name, amount, etc. you can insert values in these fields.
For example, 100 next to Account. In the fields under Column width (printing) you can also change the font size and print direction. |
Below is a description of the buttons in the lower part under balances.
These fields are used to set up the individual columns on the balance printout. That is, in addition to the account number and account name column that is always printed.

X = the column number. This number is used to define the A and B values for calculation columns. |

If this field is selected, both a debit and credit column are printed. By default, only one column is printed. |
Reverse sign |
Selecting this changes the sign of all operating accounts in the balance sheet, not all accounts. |
Include journal |
Here one or more journals can be selected. The balance will then be displayed with the selected journal(s). |
Value |
Here these can be selected:
Transactions print posted transactions over a period of time. Possibly incl draft entries.
Budget prints budget entries in a period
Column_A -Column_B subtracts two columns
Column_A -Column_B / Column_B * 100 Calculates two columns in percent
100 + Column_A -Column_B / Column_B * 100 Calculates two columns in percent
Column_A +Column_B Adds two columns together
Summing: From A to B. Adds all columns in an interval
Drafts: Prints the selected drafts in a column.
Entries (Quantity): Prints quantity from entries with Quantity applied.
Entries (Quantity): Prints quantity from budget entries with Quantity applied. |
Formatting |
Choose how many decimal places are displayed or whether it should be in thousands. |
Budget model |
Here you can select a budget to compare with.
Note! Select 'Budget' in the 'Value' field to activate this 'Budget model' field. |
From date/To date |
The start and end date of the balance sheet can be selected. NOTE: If you only choose the first day of the financial year in From and To Date, you only get opening items in the balance sheet. Read about a workaround to avoid primo in our Q&A guide. |
Include opening balance |
If the from date is equal to the start of the financial year, you can choose whether you want to include the opening entries. |
Company name |
Here it is possible to choose between the companies that the user has access to If the Company is combined with "summation" from A to B under value, a consolidated balance sheet can be made across financial statements.
Note! For example, if the subsidiary is in EUR and the parent company in DKK, then the EUR amounts from the subsidiary will be converted into the parent company's currency at the prevailing exchange rate on the to-date balance. |
Department |
If departments are set up, they can be selected here. |
Carrier |
Here you can set up supports for the balance. |
Balance covers
Balance sheet covers can be created by typing a manual text under the
Home button, but it can also be combined with a cover page made via the report builder. In the image it is possible to define which report to use. You select this in the
Home Page Templates field
In addition, you can specify some report variables, which can thus be merged into the auditor's statement text. These include dates from and to date.

- Select Tools\Report Builder\User-Designed Reports
- Select 'Financial Cover Page'
- Select Add report.
- After setting up the report, it will be saved.
- The report can now be used when printing a balance sheet if it is selected under the Home button on the balance sheet screen.
If you wish to insert a signatory in the declaration of the customer in question, this can be done in the auditor's own accounts under the debtors. Here, via the
Customer Information button, you can indicate which employee of the accounting firm must sign the balance sheet. 2 signatories can be defined. If you want the auditor's MNE-No to be used on transcripts, then the number of the employee must be filled in. Read more

Column width (printing)
The column width can be used to format our balance sheet printout so that it looks nice.
Below is an example of setting up balance sheets with 5 columns, 4 quarters and a result.

The width of the columns is calculated in pixels. With a print orientation of portrait, a paper will be approximately width 793 x height 1122 pixels, where in landscape, the size will be height 1122 x width 793 pixels.
If using the balance template, do not fill in Line spacing and Left margin.

Line spacing |
0= the normal line spacing. If you want more air between the lines, you can enter a value higher than 0 (zero) |

If you want a margin by the account numbers, enter this here. Note, however, that the account number field must have its own value as well as the margin value, otherwise the account field will be overwritten. |
Font size |
Nothing in the field equals 12. If you want a larger font, enter a value above 12, if you want a smaller font, enter a value less than 12 |
Print orientation |
You can choose between portrait or landscape, depending on how many columns you want in your balance. |
Balance in other currencies
If a Danish financial statement is to be reported in Euro, a new company must be created with accounting currency Euro. It must have the same chart of accounts as the Danish company, possibly with the account names in English.
When creating a report in the Euro company, you can select "company" under balance (far right in the top field). Now the Danish company will be printed in Euro.
Troubleshooting in balance setup
If you get a blank, or half a blank page, in your printed balance sheet, check your chart of accounts to see if page breaks are checked.
