In Uniconta, it is possible to use your own SMTP setup and thereby use your own email server to send emails from Uniconta.
We recommend that all our customers use their own SMTP setup.
You can set up your SMTP in two places in Uniconta:
- Accounts Receivable/Maintenance/Email setup
- Company/Maintenance/Email setup
Important for email setup
Note! We recommend that everyone fills in the email setup with their own SMTP server information. If you do not fill in your own SMTP server information, emails will be sent via 'mailmailmail.net' with the sender address mail@unicontamail.com, which can result in these emails ending up in the spam filter of the email recipient.Note! If you do not set up an email setup, the sender's email (i.e. the user's email) will receive a copy of all emails sent from the accounts.
Note! If you do not set up an email setup with SMTP and use Microsoft as the provider, the maximum number of emails that can be sent, for example in connection with a mass update, is 50. Note! An email setup must be created in the Company module if approval emails are to be sent when approving physical vouchers. Note! Often you will also need to make some adjustments to your own mail server to allow Uniconta to send emails on your behalf. If you need to know our DNS records and related IP address, you can view these hereSetting up SMTP
- Go to Company/Maintenance/Email setup
- Select the Add or Edit button on the ribbon
- Select the Wizard button on the ribbon. The wizard can help you fill in the SMTP server and SMTP port number fields as long as you select whether you are using Office 365, Gmail or Yousee.
- If you do not use Office 365, Gmail or Yousee, you must manually fill in the SMTP information. The following fields must be filled in:
- SMTP server (ask your IT provider about this if you don't know it)
- SMTP port number (ask your IT provider for this if you don't know it)
- SMTP User, usually the email address to send from.
- SMTP password, the password that matches the user/email.
- It is recommended to check the Use SSLbox . If TLS is used, which is at protocol level, the SMTP server address should start with tls:// and the SMTP port number should be set to 587. Example of SMTP server address: tls://smtp.minmailserver.dk
- Check the Allow different senders box if you want different senders to send emails.
'Allow different senders' is a setting in Office 365 and other systems that generally does not allow a mail account to send emails in someone else's name. By checking the Allow different senders box, we know that you have ensured this.
- ATTENTION! If you check Allow different senders, all users who send invoices must go to 'My Profile' and find the item "Password on email system" on the menu bar. Here, each employee must enter their own login details for their email. Otherwise, there is a risk that invoices will not be sent correctly.
- Select the button Check Email Host (SMTP) / Send control email and enter e.g. your own email address or even better an email address in another domain, e.g. your private email address or similar and select the OK button. If the SMTP part is set up correctly, you will see the message 'Email sent without errors' and a test email will be sent to the email address you provided.
- Select the Save to tape button
