Sales orders
|
|
| Inventory management |
Here you can select 'None', 'Reserved' or 'Movement'.
The selection in this field determines which value is automatically set in the Stock control field on new order lines. However, the Stock control field can always be overridden manually on the individual order line.
- Nothing: Inventory on the items does not change, i.e. the items are not reserved.
- Reserved: The available inventory on the items is changed, i.e. the items are reserved.
- Movement: When creating sales order lines, the item is pulled immediately and writes down the inventory, read more about sales orders and order lines here.
|
| Set 'number' to one |
Check here if 'number' in order lines should always be set to '1'. If number is not set to 1, then number will be 0. |
| Edit Delivered |
If you want to edit the Delivered field on the order lines, Edit Delivered must be checked here. |
| Check EAN |
Check here to check the EAN number with a modulus check.
You can create different items with the same EAN number. |
| Show inventory information for the item |
Check here if you want order lines to show inventory information for the item.
Version-94: Now inventory information is shown everywhere with this checkmark (Sales, Purchase, Quote). |
| 'Deliver now' determines the quantity delivered |
Checking this box overrides what is delivered. If there is nothing or '0' on the order line, nothing is delivered. If the check mark is set, you must actively write what is delivered for each order line. |
| Show lines on invoice that are not delivered |
If you check this box, lines that are not delivered will appear on invoices. This means that product lines that are on backorder, for example, can be made visible to the customer on invoices. |
| Show lines on the delivery note that are not delivered |
If you check this box, lines that are not delivered will appear on delivery notes. This means that lines that are on backorder, for example, can be made visible to the customer on delivery notes. |
| Update order lines when cost prices change |
If you check this box and cost prices are changed after the order is created, unbilled order lines will automatically be updated with the new cost prices. For subscriptions that are billed annually, this will change the amount in all standing orders to the new price. NOTE: before the cost prices can be updated, the user must 'recalculate cost prices' under Lager/Maintenance/Recalculation of cost prices. Read more here.
To update the order lines, close the screen and open it again. |
| Approve Sales Order. |
If you set this flag, a sales order must be approved before it can be invoiced. On the sales order it will be set who and when the sales order is approved. |
|

Purchase orders
|
|
| Inventory management |
Here you can select 'Nothing', 'Ordered' or 'Received'.
- Nothing: When creating purchase lines, inventory levels are not changed on the items.
- Ordered: When creating purchase lines, the ordered field of available items is activated.
- Received: When creating purchase lines, the item is added to stock immediately. Read more about purchase orders here.
|
| Set 'number' to one |
Check here if you want the Number field to default to 1 on new purchase order lines. |
| Edit Received |
Check this box if you want to be able to edit the Received field on the purchase order lines. |
| 'Receive now' determines the number received |
If this field is checked, the number in the Receive now field determines what is received/purchase invoiced. If you enter 0 in the field, nothing is received. In other words, if this field is checked, you must actively decide what to receive on each purchase line.
Note! This function cannot be used if 'Nothing' is entered in the Inventory management field. |
| Approve purchase orders |
Check this box if you want purchase orders to be approved before they can be invoiced.
On the Purchase order it will be set who and when the order is approved.
If this field is checked, three extra fields will appear on the purchase orders: Approve, Approved, Approved it, so you can see who has to approve the purchase order, if it has been approved, and if so, when it was approved. |

| Automatically create creditors |
When using Uniconta scan and Paperflow, this parameter controls whether creditors are created automatically in Uniconta. Read more here about Paperflow. Read more about Uniconta Scan. If you remove the check mark, you control which creditors are created. If a creditor is found (match via CVR no.), this is still used in the Inbox.
The parameter thus determines whether creditors are created manually or automatically in Uniconta. read from Paperflow. |
| Automatically scanned |
This parameter means that the documents are scanned automatically when they enter the Physical attachment (inbox) |
| Scan payment details |
If Automatically create creditors and Scan payment details are checked
- If the creditor does not exist in the creditor file, a new creditor is created and payment information is filled in.
- If the creditor is in the creditor file WITHOUT payment information, we update the line in the physical inbox with the scanned payment information.
- If the creditor is in the creditor file, WITH payment information, we update the line in the physical inbox with the creditor payment info, from the creditor card. (Payment information is NOT scanned)
If Automatically create creditors is checked but Scan payment details is NOT checked
- A new vendor is created and payment details are filled in.
- If the creditor is in the creditor file WITHOUT payment information, we will NOT update the line in the physical inbox with the scanned payment information (Payment information is NOT scanned)
- If the creditor is in the creditor file, WITH payment details, we update the line in the physical inbox with creditor payment details (Payment details are NOT scanned)
If Automatically create creditors is NOT checked
- The payment details are filled in on the line for the physical receipt with the scanned payment details.
If Automatically create creditors is NOT checked and Scan payment details is NOT checked
- The payment details are filled in on the line for the physical receipt with the scanned payment details.
NB! Payment details relate to the following fields on the credit card: Payment method, SWIFT and Payment ID

| Account on inventory transactions |
Here you can choose whether the Account field in the inventory transactions should be updated with the debtor's invoice account or delivery account.
The delivery account is the debtor that you sell/deliver to, but which has a reference to an invoice account, i.e. it is another debtor who will pay the invoice. Or the delivery account is the Creditor that you buy/take delivery from, but where the invoice is sent to another Creditor.
This choice also affects whether the sale should appear in the statistics for the invoice account or the delivery account.
If you select the delivery account here, you will be able to see the items from the sale under the Inventory transactions button on the delivery account in the accounts receivable ledger. If you select Invoicing account here, the invoicing account is where you can see the stock transactions. |
| Negative bearing |
For Uniconta to accept negative Lager, Negative Lager must be enabled (Default).
Please note that negative Lager is not always supported:
This applies when using locations, variants and in some situations on batch and serial number. Read more here.
Unfolding of BOM is only checked for whether the item is in stock when simulating or invoicing if negative stock is not allowed.
Production is also included by selecting this field. Production cannot take place if the item is not in stock if negative stock is not accepted.
Read more about the Lager module here.

The project draft supports negative stock. Read more about the project draft here.
Please note that negative Lager is checked at line level. This means that if there are several lines with the same item number, check per line and not for the total number.
If you are not running negative Lager, you can still go into negative stock if you return goods to the supplier via purchase order or invoice. |
| Check storage location |
If you have enabled storage location under Company/Maintenance/Turn functions on/off, you can check to make sure that storage locations do not go into negative numbers. |
| Should the item be automatically updated with the last cost price |
Check this box if you want the item to be automatically updated in the Lager module with the last cost price. |
| Update purchase price |
If you check the Update purchase price box, updating the purchase invoice with Purchase invoice or Purchase order will update the Purchase price field on the product card.
NB. this function only works if the above field 'Should the item automatically update with last cost price' is checked. |
| Setting up sizes |
Checking this box displays three additional fields on the inventory record: Weight, Volume and Carton.
Filling in these fields on individual items also calculates the total weight, volume and number of cartons on sales orders. |
| Count list: Load variants |
Check the box if you want variants to appear in the count list. |
| Update delivery date |
If "Update Delivery Date" is set, the delivery date for productions is calculated based on the date entered in the field minus the time shown on the product card as delivery time under "Lager level". |
| Additional product groups |
Check here if you want to make use of three extra group selections on the item.
You get a Statistics group, a Label group and a Species group. Log in and out of Uniconta for the corrections to take effect. |
| Last Movement |
If checked, the date stamp of the last movement of an inventory item is displayed below this field. |
| Label group |
Here you can rename the Brand Group to something else. Log in and out of Uniconta for the corrections to take effect. |
| Species group |

Compulsory Aconto item number |
"Invoices on account".
If Forced Aconto item number is selected, it is a requirement that the Item number field is filled in for project types of type Aconto.
If Forced Aconto item number is selected, the "Aconto item number" from the "Aconto project type" is automatically added to invoice proposal lines on "Aconto invoice proposal" and "Sales order"
If Forced Aconto item number is selected, when posting an Aconto invoice, the system checks that item numbers have been entered on the lines and that these item numbers are equal to one of the item numbers entered on Project types of type Aconto.
Please note that Uniconta will always set the Aconto item number on the lines, so it is not necessary to enter the Aconto item number again if there is only one Aconto item number. If you have set the Aconto item number and want to delete the line, it must be done as follows.
- Delete the item number.
- Gem
- Delete the line
- Gem
"Invoice Proposal and Zero Invoice" where on-account items are included in the invoice proposal
If "Compulsory Aconto item number" is selected and there are Aconto items in the posting bases for Invoice proposal or Zero invoice, the sum of Aconto lines on the Fatura proposal must be equal to the sum of Aconto lines in the posting base. If you want to remove the Aconto lines, this must be done via the posting basis. |
| Use monthly planning |
If this parameter is activated, it is possible for employees to plan directly on projects per month.
Note that if you use monthly planning via this screen, it cannot be combined with weekly or daily planning, as data is saved summarized per project, employee, wage type and month. |

| e-invoice attachment |
This parameter determines how the e-invoice will be attached/embedded.
Default is Url (this is how it has always worked)
Url: inserts an external link to the PDF invoice
Pdf: Embed the original PDF invoice
None: Nothing is embedded |
| Disable e-invoicing via NemHandel |
If this parameter is set, e-invoices will not be sent from Uniconta's server. This means that you have to take care of the transportation of the documents yourself. |
