Company images |
Here you can add a logo to display on the Toolbar and on invoices (Company logo) ![]() Click “Add” and choose between “Company logo” or “Top logo/Toolbar” If you don't want the image to be compressed, uncheck the “Compress” box before browsing for the logo you want to use. Click on “Save” ![]() The document type“Company logo” is used on documents such as invoices, bank statements etc. The document type“Top Logo/Toolbar” is used in the top right of the Uniconta client. This logo should be elongated to display nicely. Document typeThe “Icon” pen has a special function in relation to the Uniconta Assistant app. If you want a logo other than the company logo to be displayed in the app, you can insert an image under the icon. For example, an accountant can put his own logo on his customer so that the customer can see that this app is made available by the accountant. This is especially useful for invoicing users. |
Attachments | Here you can attach files to the company information. Notes can only be added, edited and viewed by resellers. |
Enable/Disable |
Here a company can be activated or deactivated. If a company is deactivated, it is considered a company that is no longer used. Everything can be seen on a deactivated company. Note! Only the owner of the account can deactivate/activate the account. A deactivated account is automatically activated if an entry is made in the account. Be it an accounting journal (Finance, Lager, Project), an invoice or credit note. A deactivated account can receive submitted attachments via email and the Upload app and receive bank records if autobank is active. Please refer to the price lists for Univisors and Standard subscriptions. |
Delete all transactions |
Can only be done by Uniconta and resellers and requires a password that can only be provided by the supplier. The owner of the accounts must send an email to support@uniconta.com before Uniconta or the reseller can delete all entries. All records are deleted including sales orders, purchase orders, physical receipts, project records and cash drafts. Master data is not deleted. On 01-01-2024, the new Bookkeeping Act came into force. This meant that the obligation to store accounting data was transferred from the owner of the accounts to the supplier of the accounting system. In this case Uniconta A/S. This means that the "Delete all entries" function cannot be used as soon as an account has been invoiced. Read more here. |
Delete company |
Deletes selected company. Only the owner of the accounts can delete them. You must confirm that you want to delete by typing “Delete” and the company is deleted. NOTE: Accounts cannot be retrieved again! |
Backup | Here you can make a complete backup/copy of the company's data internally in Uniconta.
NOTE: Never use the backup as a preliminary production accounting.![]()
If Univisor/Admin takes a backup, they become the "owner" of the backup accounts. Otherwise, the owner of the original accounts becomes the owner. |
Allowed IP addresses |
If a company only wants to allow users to access accounts from specific IP addresses, these can be added here. You can add as many as you want. The example below shows that Home is turned off. This means that in this example you can't get on from the "Home" IP address, but only from "Office". Note: A user can access the accounts, but cannot view data if they are not on an authenticated IP address. ATTENTION! This feature should only be used when you know that you have a fixed IP address. As soon as there is an IP address listed here, ONLY this IP address (and other addresses listed here) can be logged in from. |

Field name | Field Description |
Log directory changes | If checked, the date of the last change is logged on master data records. The information is used for development and integration to Uniconta. Changes can be read in a change table. A reseller can help generate a report. Read more about this feature here. Note! When the Log changes in fields under Company/Maintenance/Turn features on/off is checked, this field is also automatically checked. |
Allowed Negative Debit/Credit | If this is set, you can register with a sign in Debit/Credit. For example, minus in Debit. Used a lot in Germany |
Use “Number” in the Financial entries | If this is set, a number can be entered in the draft that is saved together with the financial entries. Read more here... |
Automatic Equalization |
Here you can choose whether Uniconta should try to automatically offset items in Debtor/Creditor. You can choose between the 3 options below. Match = Equalization by match. I.e. an exact match on amount and/or invoice number. Never = Equalization is only done by invoice number match or manual equalization. Always = Always trying to offset. And 1 deposit can offset e.g. 10 invoices. Note, however, that credit notes are only automatically offset if they are made as a copy of an invoice, in which case they are offset with the invoice being copied. Remember to add a number in the Invoice field in the accounting journal if possible. This will help Uniconta to offset the entries correctly in automatic equalization. |
Recalculation of cost prices per warehouse/location | If this is set, cost prices in the warehouse are calculated based on the same storage location/location. This means that you can store an item in a warehouse location, and when it is sold from the same location, it will also have the same cost price. Read here about when to use the recalculation of Inventory Location and Location. |
Block send email |
If this is set, emails can NOT be sent from the accounts. Used primarily for testing. Note: OIOUBL invoices are also blocked from being sent from Sales Order / Quick Invoice. However, an OIOUBL can subsequently be sent from Debtor/Reports/Invoices. If the “Block send email” box is checked and a user tries to send a sales invoice, for example, an error message with“Operator blocked” will be displayed. |
Unrealized VAT | If you check this box, you can use unrealized VAT in your accounts. For example, in Germany, VAT can be withheld until payment if an invoicing company meets certain legal requirements. |
Allow input VAT on sales invoices | If checked, you are allowed to select input VAT codes on a sales invoice so that settlement vouchers can be posted. |
Use VAT operations |
In Denmark, we operate with the VAT operations sitting on the VAT code, so Danish companies do not need to check this field. If you have checked this field, you can override this by entering the operation in the draft so that it appears on the entries. This is not used in Denmark, only in other countries such as Spain, where there would otherwise be more than 300 VAT codes. On a financial record there is a VAT code and a VAT operation. If the operation is empty, the operation is taken from the VAT code file. |
Retained earnings per dimension |
Uniconta does not create dimensions on "transferred year result" by default, but if this field is checked, transferred results are created per dimension. The setting is only for a few system accounts where we created first records per dimension before version 92. This is due to a huge number of dimensions in some companies, which will slow down the company's operations. Some of these system accounts are VAT, bank, penny differences and exchange rate differences. |
Allow external links for attachments |
If you check this box, each attached document will contain a code that can be used to link to the document in a browser. Read more about attachments here... |
Send approval reminder |
In the field, you can open a small selection box where you can select which days of the week to send reminder emails to approvers. The reminders are sent out at approximately 7am. Read more about setting up attachment approval here. |
Send email for attachment approval |
Check this box if you want to send separate approval emails for the attachments to be approved. If the box is unchecked, “follow-up emails” will only be sent on the days selected in the Send approval reminder field. Note! Emails are only sent if an email address is specified for the individual employee in the employee directory and if the employee has indicated that they want to receive emails when approving attachments. Read more about setting up attachment authentication here. |
